Let me start by stating the obvious: training in an online format is a whole lot different than training in-person. But that doesn’t mean you should skip any steps, and it certainly doesn’t give you permission to leave any stones unturned.

Let’s review 5 specific tips to help you become more efficient in the virtual training space of TrueCoach.
1. DAILY CHECK-INS AT SET TIMES
This one might seem obvious, but it shouldn’t go unmentioned. Efficiency is all about being precise and managing your time properly. The ultimate goal is to provide helpful feedback to your athletes once they’ve completed a workout or have sent you a note through the messaging portal. Rather than keeping your phone glued to your hip all day, set out specific times in your schedule for check-ins.
A simple approach to this is a morning check-in time slot and an evening check-in time slot. For example, I use the 6am-7am time slot each morning to check in on any athlete messages and completed workouts. My mind is fresh and clear in the morning so this works best for me. Lastly, I use the 5pm-6pm time slot each evening as my second scan of the day just in case there were any messages or completed workouts that I missed.
By having two check-in times each day, it allows you to provide a thoughtful response with feedback and guidance in a timely manner. Whatever messages you miss after 6pm each evening will receive a response within 12 hours by the next morning at 6am. Plus, we all have to catch up on our Netflix shows!
2. ACCOMPANY EVERY EXERCISE WITH A VIDEO
Again, another obvious one. However, I can’t express how important this is. There are many different learning styles out there in the world. Your goal should be to do your best to appeal to all of the different styles that your athletes possess, especially when it comes to consuming exercise content within their online training program.
It doesn’t matter if it’s an exercise in the warm-up, the strength training section, the conditioning, or in the cooldown (recovery); be sure to connect a video for each one. It would be awesome if most, if not all, videos came from your own YouTube channel so that your athletes can remain most engaged with a familiar face. However, there’s certainly nothing wrong with using quality videos from other respected coaches, which is a nice feature that TrueCoach offers by allowing you to do so when in a pinch.
Don’t leave it up to chance or place your athletes in a position where they have to go on a wild goose hunt to find a video for an exercise that they’re uncertain of. Instead, use a video for each exercise to make their online training experience smoother, and to also make your online coaching more efficient.
3. CREATE A PHASE RECAP FORM
We use a set of questions designed for helpful feedback through a JotForm link here at our gym. It’s simple: send the link over to each athlete during the end of the third week within their 4-week training block in order to receive a submitted response within 24-48 hours.
You can create a phase recap form anywhere. However, using it on week 3 out of 4 is clutch from a time-management standpoint, especially when you’re writing programs for anywhere between 25 to 50 athletes at a time.

Ultimately, this overall process allows you to remain efficient by staying ahead of the game.
4. DEVELOP SET TIMES FOR PROGRAM WRITING
Sure, you could knock out one or two online training programs each day if you’d like to. However, it might make more sense to instead carve out specific set times in your weekly schedule for a more efficient approach.
For example, I use 2-hour chunks of time a few days each week (i.e., Monday, Wednesday, and Friday) for all of my program writing. This ensures that I get around to tackling each program in a timely and efficient manner. It also allows me to remain focused on the task at hand rather than multi-tasking and potentially evening making mistakes.
Take a look at your overall schedule and see where you could plug these 2-hour chunks in. When you’re writing programs it’s important to put everything else down and get really dialed in. Set the time, lock in on your program writing, and make each minute count.
5. BUILD GENERAL TRAINING TEMPLATES
One of the many cool features about TrueCoach is that the platform allows you to save and store workouts, whether it’s a warm-up routine, a strength training session, or even a set of cooldown drills.
I would strongly suggest building out a handful of each type of workout or routine, which will ultimately serve as a base for you. You could use themes to help keep everything organized.
